Add an Internal Point of Contact for Learners

Set up Internal Points of Contact so Learners know exactly who to contact with questions. These contacts appear in the Learner Portal and within Courses.

When Internal points of contact are added, they are visible to Learners in the Learners Portal, within individual courses, and in the Phishing Simulator Dashboard.

NOTE: These are internal contacts within the organization, not contacts at EasyLlama. Learners should reach out to an internal contact first, and if additional assistance is needed, an administrator can contact for Assistance.

What You'll Need

  • Administrator access to the Dashboard
  • The name and contact details for the internal support person/team
  • Access to Training Settings

Add and Manage Points of Contact

 

  1. Log in to the Dashboard.
  2. From the left navigation menu, click Settings > Training Settings.
  3. Scroll to Point of Contact and click Add Point of Contact.
  4. Fill out the Create New Point of Contact form with:
    • Name of the contact person/team
    • Role/Department
    • Email Address
    • Phone [optional]
    • Other Details [optional]
    • Visibility Options [where the contact information should display]
      • End of the course
      • In the Learner Portal
      • In the Phishing Simulation Training Landing Page
  5. When finished, click Save.

Manage Existing Contacts

After creation, contacts appear in the Training Setting’s Point of Contact section.

  • Edit a contact: Click the Edit button, make changes, and click Save.
  • Delete a contact: Click the Trash can icon, and click OK to confirm.


Learner's Experience

Contacts appear in the Learner Portal and in Courses.

Contacts are displayed within the Learner Portal's Home tab, at the bottom right-hand side of the screen. 

Learners can view details by clicking the contact to expand it. 

In Trainings

At the top-right of the course, Learners click the Question Mark icon to view the internal contact information.

Helpful Tips

Avoid using personal contact information

Instead, use departmental email addresses or help desk contacts that will not change if a staff member leaves.

Set the correct visibility

Avoid confusion by double-checking whether contacts should appear in all courses or specific ones.

Can Learners contact EasyLlama support directly?

No. Learners contact only their internal points of contact. If assistance is needed from EasyLlama, administrators should contact support.

Where do contacts appear to Learners?

  1. In the Learner Portal Home tab, at the bottom right.
  2. When clicking the question mark (?) icon within any training course.
