How do I recertify all of my Learners at the same time?
Adjust learner recertification dates to create a unified annual training schedule, ensuring all team members recertify at the same time, regardless of their original completion dates.
Before You Start
What You'll Need
- Administrative access to your EasyLlama dashboard
- All learners should have completed the course you plan to recertify
- Understanding that recertification dates are normally based on completion date + frequency settings
- Access to Learners tab with filtering and bulk actions
Important Context
A learner's recertification date is normally based on:
- The day they completed the course
- The Recertification Frequency settings for that course
However, if your organization prefers to roll out training annually for all learners at the same time, adjustments are needed because individual completion dates vary.
Align Recertification Dates for Annual Rollout
Step 1: Verify Course Completion
Ensure all learners have completed the course you plan to recertify.
If some learners have not completed the previously assigned course:
- Do not recertify them yet
- Instead, change their Due Date and re-notify them
- They must complete the current assignment before recertification
Step 2: Review Course Assignment (Optional)
When using this method, all learners will be recertified based on the course they took previously.
If you need to change the course for some learners (e.g., due to a region change or promotion):
- Option A: Assign the new course immediately—this replaces the recertification date for the previous version
- Option B: Change the recertification course for future renewal
Step 3: Bulk Update Recertification Dates
For all learners who have completed the previously assigned course:
- Go to the Learners tab
- Select learners who need their recertification dates aligned
- Use bulk edit to update recertification dates to your desired annual date
This ensures everyone's next recertification falls on the same schedule.
Step 4: Filter for Due Learners
When it's time for the learner’s to be recertified:
- On the Learners tab, click the Due for Recertification filter button. This displays all learners whose recertification is due.
- Review the list carefully to ensure everything is correct.
Step 5: Select Learners
Select learners to recertify:
- Check boxes next to individual learners (one page at a time—50 per page)
- OR use the Select All function if you want to recertify every learner across all pages
Note: You can only check boxes on one page at a time when selecting manually. Moving to another page clears previous selections.
Step 6: Access Bulk Recertify
- With learners selected, the purple Action bar appears
- Click More > Recertify.

Step 7: Confirm and Complete
Review the confirmation pop-up and click Recertify to confirm.

Step 8: Verify
That's it! The recertification courses will be:
- Assigned to all selected learners
- Notified according to your notification settings
- Visible in learner profiles and upcoming recertifications
