Troubleshooting "Cannot Add Learner to Classroom" Error

What to do if you receive a "Cannot Add Learner to Classroom" error when assigning a Learner.

Immediate Actions

  1. Unassign the course from the Learner’s individual profile
  2. Refresh the classroom page and try adding them again
  3. Check multiple learners - If bulk adding fails, identify which learners have conflicts

Detailed Solutions

Fix 1: Remove Individual Course Assignment

  1. Log in to the Dashboard.
  2. From the left navigation menu, click Learners.
  3. Find the learner who can't be added.
  4. Click the learners’ name to view the learner details.
  5. Under "Current Assignments" click the three dots (⋮) next to the course matching the classroom.
  6. Click Remove.
  7. From the left navigation menu, click Classes and find the Classroom Session.
  8. To the right of the classroom session, click the three dots (⋮) and click + Add learners.
  9. Type the learner’s name, select them, and click Assign.

Fix 2: Use Bulk Unassign & Reassign

Try this if: Multiple learners cannot be added to the Classroom.

NOTE: This action removes their individual progress if they’ve started the course already.

  1. Log in to the Dashboard.
  2. From the left navigation menu, click Learners.
  3. Find and select the affected Learners.
  4. Scroll up to the purple action bar, click More > Unassign Trainings.
  5. Select Unassign specific trainings and search for and select the course creating the conflict.
  6. Click Unassign to remove the learners from the course.
  7. From the purple action bar, click More > Add to Classroom.
  8. Select the classroom, and click Add.

What Causes the Error

  • The learner is assigned to the same course individually, and via classroom.
  • The learner started the course previously, but did not complete it.
  • An old assignment from a previous time period is still active.
  • The course was accidentally assigned twice through different methods.

How to Prevent Errors

  • Audit before creating classrooms. Check that no learners have the course assigned individually.
  • Use classrooms OR individual assignments, not both for the same training period.
  • Clear old assignments after annual training cycles complete.
  • Create naming conventions. Use “2026 Classroom - Harassment Prevention” vs. “Harassment Prevention”.

When to Get Help

Contact EasyLlama support if:

  • Learners show no individual assignments but still can't be added
  • The Remove button is grayed out or unavailable
  • Individual progress must be saved while moving to classroom training
  • You suspect a system sync or data issue
