When to Enable Supervisor Supplemental Harassment Prevention Training for CA - Professional Services

Automatically assign a 1-hour supplemental course to newly promoted supervisors who have already completed the Non-Supervisor course, so they remain compliant without spending unnecessary time on training.

  • Is using the Professional Services version of California Harassment Prevention training

Once enabled, eligible learners will automatically be assigned the 1-hour supplemental course instead of the full 2-hour Supervisor course.

Do not enable this setting if your organization prefers that all newly promoted supervisors complete the full 2-hour Supervisor course, regardless of previous training.

What You’ll Need

Before Supervisor Supplemental Training can be used:

  • Your organization must be using California Harassment Prevention – Professional Services training
  • Learners must first complete the CA Non-Supervisor (1-hour) course
  • The learner’s role must be updated from Non-Supervisor to Supervisor (via HRIS integration or manual profile update with Trigger Automations selected)
  • Your Customer Success Manager must enable the Supervisor Supplemental Training setting for you
  • Your Harassment Prevention training must have recertification settings configured

How It Works

When Supervisor Supplemental Training is enabled:

  1. A learner completes the California Non-Supervisor (1-hour) course.
  2. The learner’s role is updated from Non-Supervisor to Supervisor (through an HRIS integration or manual profile update with Trigger Automations selected.)
  3. If the learner completed the Non-Supervisor course within the past 12 months, the learner is automatically assigned:
    • Harassment Prevention: CA Supervisor, Professional Services (1-Hour Supplement)
  4. After completing the supplemental course, the learner will have completed the 2-hour California Supervisor training requirement.
  5. Training records and reports will reflect completion of both the 1-hour Non-Supervisor course and the 1-hour Supervisor Supplemental course.
  6. The learner’s next recertification will require the full 2-hour Supervisor course.

If this setting is not enabled, newly promoted supervisors will be assigned the full 2-hour Supervisor course.

Eligibility Rules

A learner will only be assigned the Supervisor Supplemental course if all of the following are true:

  • The learner is located in California
  • The learner was previously assigned and completed the California Non-Supervisor (1-hour) course
  • The learner is promoted to Supervisor within the last 12 months of taking the 1-hour non-supervisor course
  • The Supervisor Supplemental Training setting is enabled

What Is the Training Cycle?

In California, Harassment Prevention training is required every 2 years.

The training cycle is the learner’s active recertification period. This is typically 2 years from the completion date of the learner’s last Harassment Prevention training, but it may vary depending on your organization’s recertification settings.

The Supervisor Supplemental course is only assigned if the learner completed the Non-Supervisor course within the past 12 months and is then promoted to Supervisor.

If the Non-Supervisor course was completed more than 12 months ago, the learner will be assigned the full 2-hour Supervisor course instead of the supplemental course.

After completing the supplemental course, the learner will return to the normal recertification cycle based on your organization’s settings. Your organization may use:

  • Fixed recertification dates (all learners renew on the same date), or
  • Rolling recertification (renewal based on completion date)

Recertification Rules

If a learner completes the Supervisor Supplemental course, their next recertification will be the full 2-hour Supervisor course, not the supplemental course.

  • The learner’s transcript will show two completed courses:
    • CA Non-Supervisor (1 hour)

  • Together, these courses satisfy the 2-hour California Supervisor training requirement
  • Completion certificates and reports will reflect both courses
  • These records can be used for audit and compliance documentation
