Custom Subject Line and Message for Training Notifications and Reminders

Personalize the subject line and message text of training reminders sent to your learners to add a custom touch to your communication.

What You'll Need

  • Pro subscription (or contact us to enable)
  • Administrative access to the EasyLlama dashboard
  • Access to Settings > Training Settings
  • The subject line and message text you want to use

Customize Notification Subject and Message

Step 1: Access Training Settings

  1. Log in to the EasyLlama dashboard
  2. Go to Settings > Training Settings

Step 2: Locate Customization Fields

Scroll down the Training Settings page to find Custom Email Reminder:

 

Field Description Example
Custom Subject The subject line learners see in their email inbox "Don't forget your compliance training!"
Custom Text The message that appears above the Start Now button in the email body "Hi [Learner Name], please complete your assigned training by the due date."

Step 3: Enter Your Custom Content

Type in the Subject Line and Custom Text as desired.

Step 4: Save Your Changes

Scroll to the bottom of the Training Settings page, and click Save.

What Gets Customized

Future training reminder emails will now include:

  • Your custom subject line in the email header
  • Your custom text above the "Start Now" button

Email Subject Line

  • Appears in the learner's inbox
  • Helps your emails stand out
  • Can include important context or urgency

Email Message Text

  • Appears above the "Start Now" button within the email body
  • Perfect for adding instructions, encouragement, or deadlines

What Doesn't Change

  • The "Start Now" button itself
  • Email footer and legal disclaimers
  • Technical delivery of the email

Best Practices for Custom Messages

Subject Line Tips

  • Keep it concise (mobile devices cut off long subjects)
  • Include urgency if needed ("Action required," "Due soon")
  • Add brand voice to make it recognizable

Message Text Tips

  • Be clear about what the learner needs to do
  • Include deadlines if applicable
  • Keep it brief—learners should get the point quickly

Friendly reminder:

  • Subject: "Your next training module is waiting!"
  • Text: "Hi there! Just a quick reminder that you have training to complete. Click the button below to get started."

Urgent deadline:

  • Subject: "⚠️ Action required: Training due in 3 days"
  • Text: "This training must be completed. Please take 30 minutes today to finish it."

Remember to save changes

Always click "Save" at the bottom of the page. Your customization isn't applied until it is saved.

Keep the subject line and message concise

Use a short subject line to ensure it can be read at a glance. We also recommend keeping the body short and scannable so the “Start Now” stays visible above the “fold” of their browser window.

How soon do changes take effect?

Changes apply to future notifications sent after you click Save. Already-sent emails are not affected.
