How to Create a Custom Course
Create and customize an EasyLlama course by selecting a course from the Training Library, editing slides, adding policies or translations, publishing the custom version, and assigning it to Learners—all while preserving existing assignments and compliance requirements.

Create a Custom Course Version
Creating a custom course version allows you to:
- Replace the original course with a custom version
- Maintain existing assignments for Learners in progress of completing the original course
- Preserve existing recertification rules and automation
- Avoid the need to recreate existing workflows
Step 1: Access Training Library
- Log in to the Dashboard
- From the left navigation menu, click Training > Library
Step 2: Select a Course to Customize
Search or filter for any EasyLlama Expert Course or Llama Bites Micro-Learning.
Step 3: Create a custom version
On the desired Course card, either:
- Click Customize on the Make It Yours tag, or

- Click the three-dot menu (⋮) on the course card or page and select Customize

Step 3: Proceed with Customization
Read the pop-up for more information about editing and publishing the course. Click Proceed.

Once the custom version is created, click Review & Edit to begin.

Step 4: Edit the Slides
Helpful Tip: Review the Customization Guidelines below for details about editing slides, adding documents/signatures, legal mandates, and course timers.
Changes are saved automatically as edits are made.

| Update or swap narrations | Click the Slide Narration button, update text, select a voice, then click Re-Generate > Apply |

| Review changes | Click Preview (slide opens in new tab exactly as learners will see it) |
Step 5: Publish the Course
When you’re satisfied with the edits you’ve made, click Publish. Publishing the course makes any changes you’ve made available to be assigned to Learners as a custom version of the course.
At this point, if you’d like to add AI Translations, you may do so from the Course Description by clicking the three-dot menu (⋮) > Add Translations. For more information about this process, please see: How to Add AI Course Customizations
Step 6: Select the Custom Version of the Course to Assign to Learners
To select and assign the custom version of the course to Learners going forward, click Custom Version at the top of the screen.
Helpful Tip: Once the custom version is activated, Learners who are currently in progress will remain on the version they were originally assigned to.
Click Proceed to confirm.
Step 7: Assign Learners
Learners can be assigned to the course in a variety of ways:
- Directly from the course via the Assign Learners button
- Using the Learners tab (See: How do I assign courses to Learners who are already in the dashboard)
- Auto-assignment through automation settings
Step 8: Post Assignment
After a course is customized, published, and assigned, you may still:
- Make additional updates to the course and assign the updates to Learners who have not yet started or are newly assigned
- Add AI Translations
- Revert new assignments back to the original version of the course

Customization Guidelines
Editing Capabilities (Slide-Level Editing)
- Add new, rename, or delete slides and chapters to match organizational needs
- Edit text directly on slides for policy-specific language or internal terminology
- Change images and videos to reflect your workplace environment
- Update or swap narrations with custom audio
- Re-order content to improve the learning flow specifically for your Learners
Document Attachment
You can upload and attach company policies, handbooks, or procedures directly to the customized course for Learner reference within the training. To do this:
- From within the course being customized, click Add New > New Slide
- Under Text-Based Templates, click Embedded PDF Viewer to select it
- Click Add New
- From the top right corner, click the Pencil Icon
- To upload a new document, click File Upload. Drag and drop the PDF or click Browse File to open the desired document.
- Once the file is uploaded, click the file to update the slide
- Updates to the course are saved automatically. When finished with all updates, click Publish to assign the changes and make them available to Learners.
Legal Tags (Compliance Indicators)
- Location: Bottom left corner of legally required slides
- Compliance Courses: Legal Tags appear on all slides
- Harassment Prevention Courses: Legal Tags appear only on the slides required for compliance
- Purpose: Identify content required for legal compliance
- Action Required: Review before making significant changes

Required Course Timer Toggle (For Mandated Courses)
For courses with minimum time requirements (e.g., California Supervisor Harassment Prevention – 2 hours), the Required Course Timer Toggle enforces the minimum duration even after customization.
- Keep ENABLED for any course where jurisdiction mandates a minimum time.
- If you disable the timer, the course will no longer be compliant with those specific legal requirements.
Courses requiring timer enabled (all customer types):
- 2-Hour: CA Supervisor, Chicago Supervisor, CT Supervisor, CT Non-Supervisor, All States Supervisor, All States Non-Supervisor
- 1-Hour: CA Non-Supervisor, Chicago Non-Supervisor, Chicago Bystander Intervention
Post-Customization & Ongoing Management
AI Course Translations
Customized Courses do not automatically inherit the original course’s translations. After publishing the customized course, you will need to select the languages you’d like to offer. Once enabled, EasyLlama automatically generates and maintains translations for on-screen text, subtitles, and narration. For more information, please see: How to Manage AI Translations
Pre-Assignment Review
Before deploying custom courses:
- Preview the entire course for flow and completeness
- Use the Preview to share the course with others, if needed for Legal counsel or to ensure clarity
- We recommend reviewing with legal counsel if substantial changes are made to compliance content
- Confirm timing meets minimum requirements (if applicable)
Post-Publish Editing (Course Updates Over Time)
Post-publish editing allows you to update courses even after they go live and are assigned to Learners, ensuring content remains up to date.
- Changes are reflected in existing assignments without disrupting Learner progress.
- If a Learner is In Progress, they will finish the course they were originally assigned
- If a Learner has not yet started the course they were assigned, or is assigned after the course is updated, they will receive the updated version.
- Allows you to keep training up to date as policies or regulations evolve.
Assign, Track, and Manage
Customized courses are fully assignable, reportable, and manageable through the LMS — no separate workflow required. When assigning, use the Training Preferences to adjust assignment rules like recertifications, notifications, minimum scores, and due dates.
Helpful Tips
- Do not remove legally mandated content — always check for Legal Tags
- Do not disable the Required Course Timer for jurisdiction-mandated courses
- Use Document Attachment to link policies instead of rewriting legal sections
- Tailor training by Role/Location to ensure it’s relevant without over-customizing compliance slides
- Update any course post-publish as policies evolve

Quick Questions
Which courses can I customize?
All customers can customize any EasyLlama Expert Course available in their library.
To create a new course or multiple versions of the same course, legacy customers will need an LMS subscription. Pay-per-Course customers will require an Ultimate subscription.
How do I know which customer type I am?
Check your subscription details in the dashboard from Settings > Billing. Legacy customers with this capability are on Compliance and LMS subscription plans.
Can I customize by location or role?
Yes; any EasyLlama Expert Course can be customized to account for a location or role. Courses may be customized with a single custom version. If you require multiple versions of a particular course and do not have an LMS or Ultimate subscription, please reach out to your account manager to discuss an upgrade.
What if I remove required compliance content?
Review the original course and Legal Tags. You may need to restore content or consult legal counsel to ensure continued compliance.

Does the Course Timer work on custom versions?
Yes. The Required Course Timer Toggle applies to any custom copy of a time-mandated course and enforces the minimum duration.
Can I update a course after people have already taken it?
Yes — post-publish editing allows you to update content without disrupting existing Learner progress or assignments (available to all customers).
Can I attach my company’s policy documents?
Yes. All customers can upload and attach handbooks, policies, or procedures directly to customized courses.
Will my customized course include the same translations as the original EasyLlama course?
No. After publishing a customized course, the desired language must be selected to be available to Learners, even if it was included in the EasyLlama Course.
Once a language is added, EasyLlama automatically generates the translated course, including:
- On-Screen Text (OST)
- Subtitles
- Narration
Translations are automatically regenerated whenever updated content is published.
Is this included or an add-on?
Course customizations are included with your subscription, but we also offer advanced/white glove customization as a paid add-on.
