Training Recertification Frequency - How do I change how often a course is assigned?
Set up and manage recertification schedules for your courses, with options for automatic assignment, frequency adjustments, and global application to existing learners.
Before You Start
What You'll Need
- Administrative access to your EasyLlama dashboard
- Clear understanding of your organization's recertification requirements and which courses need different renewal frequencies
- Access to Settings > Recertification

Configure Recertification Settings
Step 1: Access Recertification Settings
- Log in to your EasyLlama dashboard
- Go to Settings > Recertification
Step 2: Set Course Frequencies
For each course, choose the recertification frequency from the dropdown

For courses with multiple versions (e.g., Harassment Prevention by region/role):
- Click to expand the category
- Set frequency for each version individually
- Ensure all relevant versions are configured

Step 3: Choose Date Calculation Method
Select how recertification dates are calculated:

| Date of previous training assignment | Recertification is based on when the course was originally assigned |
| Date of previous training completion | Recertification is based on when the learner finished the course |
Step 4: Apply to Existing Learners (Optional)
Toggle Apply to all learners with assigned or completed courses to:
- Apply the new frequency settings to all learners who already had the course assigned or completed
- ⚠️ Important: This applies to all courses and all learners, even if individual settings were manually changed
- If you do not toggle this on, changes apply only to future course assignments
Step 5: Save Settings
When finished, click Save to apply the changes.
How Automatic Recertification Works
The automatic recertification toggle is located at the top of the Settings > Recertification page.
When Automatic Recertification Is ON
- System tracks recertification due dates based on the configured frequency
- Reminder notifications are sent before the due date
- The Course is automatically reassigned when recertification is due
- Learners receive the new assignment without admin action
When Automatic Recertification Is OFF
- System still tracks recertification due dates
- Learners appear as Due for Recertification in your dashboard
- Reminders are sent
- You must manually assign recertification courses
Helpful Tips
Be sure to expand course categories when needed
For courses with multiple versions (e.g., CA Supervisor vs. CA Non-Supervisor), ensure you set frequency for each version individually.
Remember to save the updated settings
To apply the updated settings, be sure to click Save.
Avoid assigning assignments to all learners unintentionally
If you only want new assignments affected, leave the "Apply to all learners" toggle OFF.

What's the difference between frequency and automatic recertification?
Frequency determines when learners need to recertify. Automatic recertification determines whether the system assigns the course automatically or requires manual assignment.
Can I have different frequencies for different learner groups?
Currently, frequency is set at the course level. Use different course versions (e.g., Supervisor vs. Non-Supervisor) to achieve group-specific frequencies.
What happens if I change frequency after learners are already assigned?
If you toggle "Apply to all learners" ON, existing learners' recertification dates recalculate based on the new frequency. If OFF, only new assignments are affected.
